Facility & General Affairs Manager

Main responsibilities

The role, is responsible for overseeing and managing all aspects of company’s general affairs, including facilities management, office administration, and vendor management.

The person person plays a crucial role in maintaining the efficiency and functionality of the copmpany’s physical infrastructure and in ensuring the safety and security of the workplace in compliance with the actual law and administrative processes.

Facility Management and Real Estate Management

  • Building and Utilities contracts
  • Property management of company buildings & apartments 

Ordinary and extraordinary maintenance

  • Maintenance program & vendor management
  • Soft services management

Tenders renegotiation for facility management services

  • Procurement and negotiation of contracts of General Affairs activities (vendor pre-selection, tender docs writings, contracts)

Health and Safety environment (TU 81/08 et s.m.i.)

  • Organization and planning of HSE activities towards employees: internal information and training activities, management of emergency procedures
  • HSE activities towards contractors: DUVRI, definition and sharing of the HSE procedures, documents collection
  • Risk Assessment Documents

Insurance company program: coverages related to company buildings, injuries, All Risks, Travel etc.

  • Tender for Insurance broker
  • Company referent for the managed coverages
  • Proposal of potential savings and new opportunities
  • Management of specific activities

Candidate profile

Requirements:

  • Degree in Engeeniring or equivalent
  • Experience: at least 7-10 years experience in similar roles gained in multinational company
  • Skills:
  • Strategic communication: ability to clearly convey information to all stakeholders involved;
  • Negotiation skills
  • Target oriented approach
  • Operational Leadership: competence in supervising operational teams (internal and external), ensuring that they collaborate effectively in maintaining and improving infrastructure and services;
  • Problem Solving: creativity and readiness to find effective solutions;
  • Operational efficiency: ability to analyse and optimise operational flows related to space and service
  • management, aiming at quality with cost reduction.
  • Project Management: skills in conducting infrastructure projects
  • Regulatory knowledge: awareness of environmental, health and safety laws
  • Financial knowledge: knowledge in budget and costs management;
  • English proficiency.
